Using
The OnLine Console to Create E-mail Accounts
Before
you start creating the e-mail accounts, you need to decide what type of
account you will find most useful for you or your business. The definitions
for each available type are below.
POP
(Post Office Protocol)
Means
that this type of account has a server space quota on the mailserver and
can be accessed with e-mail software e.g. Outlook, Eudora etc. Adelaide-OnLine
also provides customers with an online web interface to send and receive
e-mail, much like Hotmail or Yahoo e-mail service. Any POP user in our
system is able to access their POP mail using the Web Mail system.
Create
a new POP email account
- Log
in to The OnLine Console
- Click
on the icon called "Web Mail"
- Click
"Create a new POP account"
- In
the field "User" enter your or your employees name Please note: Full
names can only be separated by a hyphen or a full stop. Example: john
, john-smith or john.smith
- In
the field "Password" enter your preferred password for this e-mail account.
It should be something that you will be able to remember. We do not
recommend to make it too easy to guess for your own security
- Click
"Create".
You
can add forwarding addresses to POP accounts.
Alias
This
type of e-mail account that does not have any space on the mailserver
and only performs the function of redirecting/forwarding mail from it
onto another POP e-mail account (or multiple POP accounts), where the
redirected message can be saved for the POP user(s). A popular way to
use Aliases with e-mail is creating a "sales@" alias account and redirect
it onto all of the company's Sale's team members.
Create
a new Alias email account
- Log
in to The OnLine Console
- Click
on the icon called "Web Mail"
- Click
"Create a new Alias account"
- In
the field "Alias name" enter the employee's name. Please note: Full
names can only be separated by a hyphen or a full stop. For Example:
john or john-smith or john.smith
- In
the field "Target address" enter the destination email address. This
could be your isp dial-up email address. For Example: johns@ISPname.com.au
- Click
"Create".
You
can add forwarding addresses to Alias accounts.
CatchAll
Catchall
e-mail address "catches" all e-mail sent to addresses, which are not configured
as POP or Alias for a particular domain name. Once caught, the mail is
redirection onto a forwarding address(as) assigned by you. It is most
handy if you anticipate mistakes in the spelling of your POP user.
Create
a CatchAll address
NOTE:
Not all Adelaide-OnLine E-mail packages provide this option, so if you
do not find it in The OnLine Console, do not hesitate to request it from
our Sales Team.
- Log
in to The OnLine Console
- Click
on the icon called "Web Mail"
- Click
"Create a catchall address"
- In
the field "Target Address" enter the destination email address for the
mail sent to the catchall.
- Click
"Create".
You
can add multiple forwarding addresses to Catchall.
Adding
forwarding addresses to POP/Alias/Catchall E-mail accounts
You
may wish to assign more that one e-mail address to one Alias, POP or Catchall.
This is beneficial if you wish to get a copy of your employees e-mails
or create an e-mail for your Sales team for instance.
- Log
in to The OnLine Console
- Click
on the icon called "Web Mail"
- Click
on an existing e-mail address (there is no difference if it is a POP/Alias/Catchall)
- In
the section "Forwarding Addresses" you will see a field titled "Add
a new forwarding address". Enter the new address here.
- Click
"Create".
You
can add as many forwarding addresses as you require. Messages sent to
the e-mail address you are editing will be forwarded to each of the new
forwarding addresses. The original recipient of the message will not be
aware of it.
How
do I add an Auto-Responder message to my E-mail accounts?
When going away on holidays, you will find this option useful. AutoResponder
will send an automatic message back to any sender, who sends you a new message
with a notification of your choice. Another
popular use for this feature is to let the sender know that the message
has been received and they will be contacted shortly.
- Log
in to The OnLine Console
- Click
on the icon called "Web mail"
- Click
on an existing e-mail address (there is no difference if it is a POP/Alias/Catchall)
- In
the section "Auto Responder" enter the subject and the body of the message.
- Click
"Create".
You
can test this immediately. Send a message to the address you just edited
and you should receive an automatic response back with the message you entered
in The OnLine Console. |
